Gym membership renewal messages: 42 WhatsApp templates in English, Hinglish and Hindi
Copy-paste messages for every stage of a renewal, from a week before a plan ends to a month after it lapses. Change the words in [brackets] and send them from your gym’s WhatsApp.
Most Indian gyms sell memberships as prepaid packs: one, three, six or twelve months, paid in cash or by UPI. Nothing renews on its own, so every member carries an end date that somebody has to notice. When nobody does, the member doesn’t argue or cancel. They just stop coming, and the gym finds out weeks later.
A short, personal message at the right moment gives them a reason to renew before the habit breaks. Below are 42 of them: 14 situations, each written in English, Hinglish and Hindi, with a schedule for when to send them and a daily check that keeps renewals from slipping. Hinglish here means Hindi typed in English letters, the way most members write on WhatsApp.
When to send a renewal reminder
Each message below is written for one moment in a lapsing plan:
| When | Message | What it does |
|---|---|---|
| 7 days before the plan ends | A week before | Puts the date in their head while they are still coming in |
| 3 days before | Three days before, with the prices | Makes renewing a one-word reply |
| Last day | On the last day | Catches the members who lost track of the date |
| 1 day after | The day after it ends | Says plainly that the plan has lapsed |
| 3 days after | Three days after | Finds out what is stopping them |
| 10 days after | Ten days after | Restarts the habit before it is gone |
| 30 days after | A month after | One last invitation, then you stop |
You don’t need all seven. If you send only three, send the week-before, last-day and ten-days-after messages. Never send two messages within two days, and stop the moment a member says no.
What makes a renewal message work
- Their name, and your gym’s. Send from a WhatsApp Business account with your gym’s name and logo, so the message comes from someone they know rather than an unknown number.
- The exact date. “Your plan ends on 24 October” asks for a decision. “Your plan is ending soon” is easy to put off.
- The price and the options. The first reply to almost any renewal message is “kitna hai?” Answer it before they ask.
- One easy reply. “Reply 3 for three months” can be answered from a bus.
- How to pay. Your UPI ID, or the desk timings if you take cash.
- Their language. Write the way they talk to your staff. On WhatsApp that is often Hinglish.
- A sensible hour. Between 10 am and 8 pm. A message about money at 10:30 pm feels like pressure.
- One to one. Renewals and fees are private. Never send them to a group.
Messages for before and after the plan ends
Pick a language, copy a message, and change the highlighted words in [brackets] before you send it.
Messages for particular situations
Not every renewal follows the calendar. These cover the regular who should be on a longer plan, the member who stopped coming early, old balances, personal training, fee increases and festivals.
A five-minute renewal check every morning
The messages only work if they go out on the right day. Give one person five minutes each morning, before the evening rush:
- Find every plan that ends exactly seven days from today, and send the week-before message.
- Find the plans ending in three days, and the ones ending today, and send those messages.
- Find the plans that ended yesterday, three days ago, ten days ago and a month ago, and send theirs.
- Write down every answer: renewed, “next week” (with the date they gave), or not coming back, and why.
- Once a month, read the “why” column. If the same reason keeps coming up, such as crowding at 7 pm, no results, or a trainer, that is the thing to fix.
With a register this means turning pages every morning. With an Excel sheet, sort by end date and it takes a minute.
How Aeren helps
Doing this in Aeren
The hard part of renewals isn’t the message. It is knowing, every morning, who to send it to. That is the part Aeren does for you.
The Ends soon page lists every plan ending in the next seven days, most urgent first. On the dashboard, members whose plan has ended sit under Needs renewal, and the ones renewing in the next few days under Due this week.
Tap Remind next to a member and WhatsApp opens on your phone or computer, addressed to them, with a short reminder already typed: their first name, your gym’s name and the date. The draft is in English, so swap in any message from this page before you press send. Aeren never sends a message on its own, so nothing reaches a member that you haven’t read.
When somebody renews early, schedule their next plan straight away. It starts the day the current one ends, so no days are lost or doubled.
Common questions
When should a gym send a membership renewal reminder?
Send the first one a week before the plan ends, while the member is still coming in, and another on the last day. If the plan lapses, check in about three days later and send one last invitation after a month. More than that starts to feel like chasing.
Should I write to members in Hindi or English?
Write the way the member talks to your staff. Many members who speak Hindi at the desk type Hinglish, Hindi in English letters, on WhatsApp, so the Hinglish versions are often the safest choice. Use Hindi in Devanagari for members who write to you that way.
Can I send one message to every member whose plan is ending?
A WhatsApp Business broadcast list can, but it only reaches people who have saved your number in their contacts, and everyone gets the same text, so it cannot carry their name or their end date. A message with the member’s own name and date reads like it came from a person, and that is what gets a reply.
How do I save these messages in WhatsApp Business?
Open WhatsApp Business and go to Settings, then Business tools, then Quick replies. Add each message with a shortcut such as /renew7. In any chat, type / to pick one, then fill in the name and date before you send.
Can I send these as SMS instead?
Yes. Sent from your own phone, the same text works as an SMS. Bulk SMS services are different: in India they need your sender name and every message template registered on a DLT platform under TRAI rules before anything goes out.
What should I do when a member says they are not renewing?
Thank them, ask what would have made them stay, and write the answer down. Then stop messaging. The reasons tell you what to fix, and a polite goodbye makes it easier for them to come back later.
